MailNext privacy overview
MailNext is designed as an enquiry workflow layer on top of Outlook. Your mailbox remains in Microsoft 365 / Outlook, while MailNext stores the workflow data needed to organise, route, reply to, and report on enquiries.
What MailNext accesses
MailNext accesses only the mailbox the customer explicitly connects. It uses this access to help the team review enquiries, draft replies, route work, and generate operational reporting.
What MailNext stores
MailNext stores account-scoped workflow data such as statuses, ownership, drafts, business profile settings, routing shortcuts, and reporting-friendly metadata. Older email content is intended to move toward a retention-based model where Outlook remains the source of truth for historic thread detail.
How data is separated
Data is intended to be isolated per customer account. MailNext should not share enquiry data, business profile content, or reporting information across customers.
Operational access
As with most SaaS products, authorised operators may have technical access to infrastructure and stored application data for support and maintenance. MailNext should be operated with strong access controls, secure secret handling, backups, and minimal logging of sensitive content.
